1. General Booking Terms and Conditions
1.1. These general terms and conditions regulate conditions of booking through the website www.vilacapek.cz. Accommodation called Vila Čapek run by the company Benet Holding, s.r.o.
1.2. Visiting, browsing, using our web site, and making a booking, you confirm that you have read the contractual conditions below and that you understand and agree with them.
1.3. The company Benet Holding s.r.o. has its registered office at Do Čertous 2622/14, CZ-193 00 Prague 9. All correspondence should be addressed to Vila Čapek, Branžež 44/12, CZ-294 02 Branžež.
1.4. When making a booking through the Vila Čapek web site, you are entering into a (legally binding) direct contractual relationship with Benet Holding, s.r.o., and therefore you declare that you are aged 18 or over, legally authorised to use the web site www.vilacapek.cz, accept responsibility for all payments made in your name or by credit card, and confirm that the information you have stated are true and correct.
1.5. All your orders shall be considered to be your will to buy the required accommodation and other services on offer. Benet Holding, s.r.o. shall not be contractually obliged to supply services you have ordered for the prices offered until your booking is confirmed and Vila Čapek receives payment in full for the services ordered or a credit card for the need of accommodation guarantee.
2. Types of booking
2.1. Through the web site www.vilacapek.cz, it is possible to create 2 types of booking: a standard booking with the possibility to cancel the reservation free of charge 48 hours before the arrival, and a non-refundable booking without the possibility to cancel and get a refund.
2.2. It is possible to change or cancel the standard booking with the possibility to cancel under the applicable cancellation policy depending on a chosen date.
2.3. A booking without the possibility to get a refund makes it possible to make alterations or cancel without the possibility of a 100% refund of the paid booking rate. As compared with the standard bookings, prices for these bookings are always favourable and these advantageous prices are conditioned by immediate prepayment by the customer’s credit card at the time of making a booking.
3. Online booking
3.1. When making a booking online through the website www.vilacapek.cz, it is necessary to fill out a booking form including all required data concerning accommodation (the dates of stay, number of persons, number of rooms) and then click on REZERVOVAT. Afterwards, a web page appears where you can book a certain type of room, depending on the price and terms of payment. The next step is redirection to a page where you shall fill out the booking form a enter the details of your credit card. There are two types of payment conditions: either you choose an advantageous booking rate for a booking without the possibility to cancel or get a refund with immediate prepayment by your credit card or you choose a standard booking – payment upon arrival and details of a credit card are included in the form for the sole purpose of accommodation guarantee. After the final approval and sending your booking, you shall receive booking confirmation including full details about your booking.
3.2. If you choose immediate prepayment by your credit card, the hotel shall charge the amount of booking to the credit card provided in the booking form after receipt of order. Should the booking be paid by a third party’s credit card, i.e., the customers who will stay at the hotel, will not have on them the credit card by which the payment was made, contact us by e-mail to email@example.com so that we may send you a link to a secure payment gateway where the payment shall be made.
3.3. If payment authorisation is okay, you shall receive a confirmation email along with booking confirmation and an invoice. If you do not receive any confirmation email or if you have any questions, please contact our booking office at the following email address: firstname.lastname@example.org , phone number: +420 724 390 557. When communicating with the booking office, always give your reservation number.
4. Change of booking
4.1. Any changes of your booking (alterations of the name, reservation date, type of room, etc.) must be made by email containing the required change and sent to email@example.com.
4.2. Any change shall be confirmed to you provided that it is executable. If it is impossible to execute a change, you shall also be informed.
5.1. On our web site, we always quote average prices per room/night and a total price for the entire stay. Prices in the Czech crowns (Kč or CZK) or Euros (€) are quoted in the booking form.
5.2. Credit card payment can only be made in CZK.
5.3. The exchange rates are set daily and are based on the rates fixed by banks. Information about the rate and the total price in CZK transferred from your account when paying by credit card, can always be found in an invoice attached to a confirmation email.
6. Terms of payment
6.1. A method of payment depends on the chosen type of booking. The terms of payment are always mentioned in the booking form.
6.2. As regards a standard booking with the possibility to cancel 48 hours before your arrival, payment shall be made right at the hotel desk. For customers who will pay at reception, the number of their credit cards including its validity period for the purpose of accommodation guarantee is required. We just verify these cards and make the so-called pre-authorisation of a credit card deducting an amount of CZK 1.00. Pre-authorisation means a temporary reservation of a certain amount on the customer’s credit card for a limited period of about 14 days (the actual period of reservation depends on business conditions of the credit card issuer), which means that this is not a deduction of the appropriate amount from the customer’s credit card.
6.3. As regards a booking without the possibility to cancel and get a refund, a condition of immediate prior payment by the customer’s credit card is stipulated. Deducting a rate for accommodation from the customer’s credit card stated in the order is made by the reception of the respective hotel on the spot using a point-of-sale terminal.
7. Cancellation policy
7.1. By making a booking, you accept the applicable cancellation policy in case you fail to arrive or cancel your booking too late.
7.2. Any cancellation or change of booking must be made in writing and sent by email to the address firstname.lastname@example.org or communicated by telephone at +420 724 390 557. Your cancellation or change of booking shall be confirmed in writing. This confirmation shall include a contingent amount of contractual penalty under the applicable cancellation policy.
7.3. As regards a standard booking with the possibility to cancel free of charge 48 hours before your arrival and payment at the hotel desk, in case of cancellation of booking by 6pm 1 day before your arrival, you shall be charged no contractual penalty. In case of cancellation of booking after this deadline or in case of your failure to arrive, you shall be charged a contractual penalty amounting to 100 per cent of the total price of the booking.
7.4. As regards a booking without the possibility to cancel and get a refund without the possibility to cancel and get a refund and with immediate prepayment on the day you made your booking, in case of any alteration, cancellation of booking or in case of your failure to arrive, you shall be charged a contractual penalty amounting to 100 per cent of the total price of the booking.
7.5. As regards group booking or occupancy rate for the entire complex, the following cancellation policy applies:
- Cancellation of booking no later than 20 days before your arrival with no contractual penalty;
- 19–15 days – a contractual penalty amounting to 20 per cent of the total price of the booking;
- 14–08 days – a contractual penalty amounting to 50 per cent of the total price of the booking;
- 07–02 days – a contractual penalty amounting to 70 per cent of the total price of the booking;
- 01–no-show – a contractual penalty amounting to 100 per cent of the total price of the booking.
8. Complaints and compensation
8.1. If you have a complaint about the quality of accommodation or take exceptions to the services rendered, try to resolve everything locally at once with the staff and give them a chance to rectify the situation as soon as possible.
8.2. If it is impossible to resolve the problem locally, please send us your complaint to the email address email@example.com no later than 14 days after the date of your stay. Your complaint shall be investigated, and potential compensation shall be proposed pursuant to applicable rules set up in relevant legislation.
Benet Holding,s.r.o. reserves the right to change these business conditions. It is your duty to regularly check the wording of these business conditions prior to every booking and get acquainted with their possible changes.
